DEPARTMENT SUMMARY: Whole Person Care encompasses practices in three Central Oregon counties and numerous specialties including family care, internal medicine, home health and hospice, post-acute care, and behavioral health. We encourage collaboration between clinical and non-clinical staff to assure we are providing our community with comprehensive and compassionate health care.
POSITION OVERVIEW: The Coordinator of Clinic Operations, under the guidance of the Business Operations Supervisor, is responsible for supporting the day-to-day business operations of a multi-provider clinic. The primary functions of this position will focus on assisting clinic leadership with daily operations including front office business operations, communication and support, quality improvement and appointment scheduling.
This position does not directly manage other caregivers. When site leadership is offsite, this role is the point of contact to assess and escalate issues.
ESSENTIAL FUNCTIONS AND DUTIES:
Assists clinic leadership with daily operations of the clinic. In addition, when needed, this position must be flexible to fill in at the front desk performing patient service representative (PSR) duties.
Functions as a PSR during registration process, greets and assists patients and demonstrates good customer service skills.
Facilitates the scheduling of patients with internal and external departments in clinics and hospitals, including scheduling of specialty procedures by phone or in person.
Supports front office business operations and work queues as needed which can include waitlist work queues and other follow up work queues, scrubbing schedules, appointment confirmations, etc.
Effectively communicates with provider, care team members, and patients regarding scheduling needs, insurance benefits, etc.
May serve as an assigned delegate to represent the clinic on the daily Tier 1 and Tier 2 Huddles.
Assists clinic leadership in the hiring and onboarding process of the clinic staff.
Supports clinic leadership in tracking provider license, DEA and RQI expiration dates.
Supports logistics and set up of staff meetings to include creating the agenda, room set up, taking meeting minutes, etc.
Coordinates and schedules meetings for site leadership.
Supports other ambulatory clinics as needed.
Coordinates student shadowing through the Area Health Education Center (AHEC).
Orders supplies; tracks, updates and investigates current orders and tasks; managing orders and work queues through the system to provide up to date and accurate information.
Submits and tracks service tickets; manages tickets and follow up to include coordinating with other departments. Serves as point of contact for vendors or other departments responding to open tickets.
Facilitates the exchange of clinical documentation and patient records with HIM department.

EDUCATION:
Required: High School Diploma or GED.

EXPERIENCE:
Required: Minimum of two (2) years working in healthcare clinic performing duties and responsibilities related to scheduling, patient registration, prior authorization or a related area of expertise.

Must be able to wear appropriate Personal Protective Equipment (PPE) required to perform the job safely.
